The Challenge
Legal operations relied heavily on spreadsheets, manual updates, and disjointed project management tools. This fragmentation meant leadership lacked real-time visibility into project status, resource allocation, and overall workload balance.
For team leads, this resulted in constant delays and duplicated efforts due to a lack of integrated communication and reporting. The objective was to design and launch a proprietary internal web app to centralize and unify these operations.
My Role & Execution
As the Product Manager, I partnered directly with engineering, project management, and legal operations to define requirements, manage the product roadmap, and oversee delivery.
- Scoping & Strategy: Defined the MVP scope, established user personas (Project Managers, Legal Analysts, Leadership), and set clear success metrics.
- Agile Implementation: Instituted an Agile workflow, introducing sprint cadences with story point estimation and strict backlog prioritization.
- Design & Prototyping: Designed core modules using Figma wireframes, including Task Boards, Reporting Dashboards, and Resource Allocation views.
The Solution
We successfully delivered a single, unified dashboard for comprehensive project tracking, automated reporting, and resource allocation. Core features included:
- Project Dashboard: A Kanban-style workflow view tracking tasks, dependencies, and overall sprint progress.
- Automated Reporting: MySQL-backed dashboards providing instant visibility into workload, turnaround times, and task completion metrics.
- Smart Data Insights: Integrated preliminary AI models to assist with document tagging and identifying operational trends.
Results & Impact
- Reduced task turnaround time by 15% within the first quarter post-launch.
- Improved sprint velocity by 20% by transitioning the team to a structured backlog and story-point methodology.
- Delivered real-time operational visibility across 8+ distinct legal practice areas.
- Successfully laid the architectural foundation for future AI-integrated automation in legal document processing.
Key Takeaways
- Early Stakeholder Alignment: Gaining buy-in across multiple departments from day one was critical to driving platform adoption.
- Bridging Workflows: Implementing a lightweight but flexible Agile process successfully bridged the gap between technical engineering workflows and traditional legal procedures.
- Data as a Foundation: Building the platform with measurable data visibility in mind positioned the tool as a scalable foundation for future automation efforts.
